Filtering Pivot Tables — Slicers, Timelines & Report Filters

A pivot can show too much. Filtering focuses it on exactly what matters — one region, a date range, a category. This tutorial covers dropdown filters, Report Filters, Slicers, Timeline filters, and hooking them together.

Filter from the Field Header

Every row and column field in a pivot has a small drop-down arrow on its header.

1. Click the arrow next to a field header (like Region).
2. Untick the items you want to hide.
3. Click OK to apply.

You can also use the Search box inside that list to find items quickly — useful when the field has dozens of values.

Simple explanation: this is the same checkbox filter you already know from Excel tables — applied to the pivot's labels.

Add a Report Filter

A Report Filter adds a dropdown above the pivot that filters the entire summary at once.

1. Drag a field (like Product) into the Filters area of the Fields pane.
2. A cell above the pivot now shows the field name and an arrow.
3. Click the arrow, pick a value, and the whole pivot updates to that single item.

Report Filters are great when you want one visible control that changes everything, but they are less user-friendly than Slicers for dashboards.

Filter by Values (Top 10)

Sometimes you don't want to pick specific items — you want the best ones.

1. Click the arrow on a field header → Value Filters → Top 10.
2. Set it to Top 5 by Revenue, for example.
3. The pivot keeps only the five highest-revenue items.

You can also use Text Filters (Contains, Begins with) and Date Filters (This Month, Last Quarter) the same way.

Insert a Slicer

A Slicer is a floating panel of filter buttons — one button per value.

1. Click anywhere in the pivot.
2. Go to PivotTable Analyze tab → Insert Slicer (or the Insert tab → Slicer).
3. Tick the fields you want (for example Region).
4. Click OK.

A panel of buttons appears. Click a region button to filter the pivot to that region:

• Hold Ctrl and click multiple buttons to select several items.
• The button highlights when it's active; Clear Filter (the × in its corner) turns it off.

Why slicers are useful: they show the user what is available and what's selected, at a glance. That makes them the standard filter tool on dashboards. You can restyle them from the Slicer tab with preset colors.

Insert a Timeline

A Timeline filters by dates — ideal for sales data.

1. Click inside the pivot.
2. Go to Insert tab → Timeline.
3. Pick your date field (for example Date).
4. Click OK.

A date bar appears. Click a month button to filter to that month, or drag the selection markers to choose a range of months. Excel auto-suggests Month / Quarter / Year levels you can switch between.

Note: a Timeline only works with a real date column. Text dates need to be converted to true Excel dates first.

Connect a Slicer to Multiple Pivots

One slicer can drive several pivots at once, so a dashboard stays in sync.

1. Right-click the slicer → Report Connections.
2. Tick every pivot you want the slicer to control.
3. Click OK.

Now selecting a region in the slicer updates all connected pivots together. This only works when the pivots share the same underlying source data.

Clear Filters

• Slicer: click its × Clear Filter button.
• Timeline: press the Clear button in its top-right.
• Field header: click the arrow → Clear Filter from "Field".
• Report Filter: open the dropdown → choose (All).

Do It with AI

• Copilot in Excel: select the pivot and type Add a Slicer for Region and a Timeline for Date. Copilot inserts both controls. A follow-up like Filter to the North region only narrows the pivot on command.
